The challenge

A public-sector services agency came to us with information scattered across disconnected systems and a SharePoint that had grown for years without a plan. Permissions were unclear, files were duplicated, and old content sat orphaned next to current work. No one place told the whole story, and no one was sure the pieces they could see were even right.

So leaders did what people do when the data will not come to them. They pulled numbers by hand, stitched together reports, and filled the gaps with guesswork. Every decision started with a question that should have been easy to answer: where do these numbers come from, and can we trust them?

What we did

We started with the foundation, because a clean view is only as good as the data under it. We audited the SharePoint governance from the ground up, mapped and fixed the permissions, removed duplicate files, and cleared out the orphaned and stale content that made the environment hard to navigate. The result was an organized, trustworthy place for the agency's information to live.

With the foundation in order, we built business intelligence in Power BI that reached into the disconnected systems and pulled the numbers into one clean dashboard. Instead of asking the team to chase data across tools, we brought the data to them, in a single view that updates close to real time and reads the same way every time leaders open it.

The outcome

The agency moved from manual reports and guesswork to one trusted view that leaders actually use. The numbers they need are in front of them, current and consistent, so a question that used to take an afternoon of pulling and stitching now takes a glance. That confidence changes how decisions get made, because the data is no longer the thing standing in the way.

It also gave the team hours back each week, the hours that used to go into hunting down numbers and rebuilding the same reports. Those hours now go back into the work the agency exists to do. Quick decisions, made from data people trust, instead of slow ones made from a picture no one was sure of.
